Effective Date: April 30, 2026 Welcome to TaskPilot, a professional task management and team collaboration application. At TaskPilot, we are committed to protecting your privacy and ensuring the security of your data. This Privacy Policy describes how we collect, use, and share information when you use our mobile application and related services.

1. Information We Collect

A. Information You Provide to Us Account Data: When you register for an account, we collect your email address and full name. This is handled securely through Firebase Authentication.
User Profile: You may choose to provide a profile name and avatar that will be visible to other members of your workspace.
User-Generated Content: We collect and store all content you create within the app, including:
Task titles, descriptions, and subtasks.
Workspace and Project names.
Comments, activity logs, and mentions.
Custom field values and automation rule configurations.
Time-tracking logs and file attachments.

B. Information Collected Automatically Usage Data: We collect information about your interactions with the app, such as the features you use and the time spent on tasks.
Device Information: We collect information about your mobile device, including the model, operating system version, and unique device identifiers used for session management and notifications.
Crash Reports: We use Firebase Crashlytics to collect technical logs in the event of an application crash to help us diagnose and fix bugs.

2. How We Use Your Information

We use your information for the following purposes:
To Provide and Maintain the Service: Ensuring your tasks and projects are synced across all your devices in real-time.
To Enable Collaboration: Allowing teammates to assign tasks to you, mention you in discussions, and view project progress.
To Communicate with You: Sending you task reminders, due-date alerts, and workspace invitations via email or in-app notifications.
To Personalize Your Experience: Remembering your theme preferences and dashboard configurations.
To Improve the App: Analyzing crash reports and usage patterns to enhance performance and usability.
Security and Compliance: Enforcing our terms of service and Role-Based Access Control (RBAC) to ensure only authorized users access specific workspace data.

3. Data Sharing and Team Visibility

TaskPilot is a collaborative application. By design, certain information is shared with other users:
Workspace Members: Teammates within your assigned workspace can see your profile name, email (for invitation purposes), and any content you create in shared projects.
Workspace Administrators: Owners and Managers of your workspace have the ability to manage your role, project assignments, and workspace-level data.
Third-Party Service Providers: We use Google Firebase to provide authentication, database hosting, and infrastructure services. These providers process your data according to their own privacy policies. We do not sell your personal data to third parties.

4. Data Retention and Deletion

Account Deletion: You may request the deletion of your account at any time. Upon deletion, your personal profile information will be removed.
Content Retention: Please note that user-generated content (such as comments or activity logs) that are part of a shared workspace may remain visible to other team members even after your account is deleted, as they are part of the workspace's collective history.
Workspace Deletion: Workspace Owners have the authority to delete entire projects or workspaces, which will remove all associated data.

5. Security

We implement industry-standard security measures to protect your data. All data transmitted between the app and Firebase is encrypted using SSL (Secure Sockets Layer). Access to your information is strictly controlled by Firebase Security Rules that validate your identity and role within a workspace.

6. Children's Privacy

TaskPilot is not intended for use by children under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will take immediate steps to delete such data.

7. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new policy within the app and updating the "Effective Date" at the top of this document.
